These Terms of Use govern the relationship between MenuRobo and the businesses and users of the MenuRobo platform (the "Platform"). By having your account opened or by using the Platform, you agree to these terms.
1. Scope of the service
MenuRobo provides restaurants, cafés and hotels with a cloud-based QR menu, table and room ordering, order tracking, waiter approval and waiter calls, reservations, kitchen, cashier and orders screens, bills and receipts, POS device integration, a Restaurant API for external POS / billing software, staff performance reports, reporting, multi-branch management and an AI-powered menu assistant. Some features depend on the selected plan; some modules, such as POS and API, must be enabled in the business settings after the platform administrator makes them available.
POS device integration and the Restaurant API are optional and off by default. Businesses that only want the QR menu and order tracking can use the Platform without enabling these modules; unless they are enabled, no data is sent to a POS device or external software.
The Cashier Module is optional as well. A business can switch off the Cashier Module and use the Platform as an ordering system only; in that case the waiter closes the table's bill from their own screen by choosing cash or card. Discounts, complimentary items, refunds, bill splitting and the Z report are only available while the Cashier Module is on.
2. Account and security
- There is no public sign-up on the Platform; business accounts are opened by MenuRobo on request. You are responsible for the accuracy of the information you provide when your account is opened and afterwards.
- You are responsible for keeping your password, the links and PIN codes of staff screens, and your API keys confidential. Notify us immediately if you notice unauthorised activity on your account, and revoke any API key you believe has leaked from the panel right away.
- We recommend enabling two-factor authentication (2FA).
- As the account holder, you are responsible for actions taken by staff and managers you add to the panel.
3. Plans and payment
- Plan contents, durations and prices are shown on the pricing page. Paid features become active once payment is completed.
- Payments are collected through licensed payment providers or bank transfer.
- If a plan is not renewed when it expires, access to paid features may be restricted.
- Price changes do not affect a period already paid for and are announced in advance for the next period.
4. Responsibilities of the business
- The business is responsible for the accuracy of product names, prices, ingredients, allergen, calorie and diet information published on the menu. The menu assistant's answers are based on the menu information you enter.
- You are the data controller for your guests' personal data and are responsible for providing the required privacy notices. The Platform offers an option to display a KVKK notice for this purpose.
- Preparing and serving orders, collecting payment, accepting or rejecting reservations and the commercial relationship with guests belong to the business; MenuRobo is not a party to that relationship.
- You must hold the rights to the texts, logos and images you upload.
5. Order security settings
- The business turns security settings such as waiter approval, location check, "waiter-only ordering" mode and device blocking on or off according to its needs. While these protections are off, someone who obtains a QR code link may be able to place orders; the business is responsible for its choice of settings and for its waiters' approval/rejection decisions.
- The location check relies on the location reported by the browser. Tools that fake location cannot always be detected on the web; waiter approval is therefore the strongest protection.
- Table QR codes are specific to each table and a session is valid for 30 minutes. Placing and protecting QR codes correctly on tables is the business's responsibility.
6. POS device integration
- POS integration sends the amount to the business's own POS / cash register device when a bill is closed at the cashier and records the approval and receipt number returned by the device. Fiscal receipt and cash register obligations (tax legislation, device licensing, bank agreements) belong entirely to the business; MenuRobo does not issue fiscal receipts and does not process card data.
- Choosing the correct device brand and connection settings is the business's responsibility. The simulator in the panel is for testing only; it does not collect real payments and must not be used for live sales.
- While the integration is off, the cashier screen shows the amount to enter on the POS; the business charges it on the device by hand.
- Cashier, bill, bill-closing and Z report records on the Platform, and bills closed by waiters from their own screen, are for the business's internal tracking; they do not replace a fiscal receipt, e-Archive invoice or e-Invoice. The obligation to issue fiscal documents belongs to the business.
7. Restaurant API and notifications (webhook)
- The API lets the business's own POS / billing software receive orders approved by waiters and close tables. An API key can only access the data of the business it belongs to.
- You decide who receives your API keys and notification address; the business is responsible for how the software provider receiving the key processes data and for its contract with that provider.
- You may use the API only as documented. Exceeding the set request limits, trying to access other businesses' data or using the API in a way that strains the system is prohibited; keys may be revoked in such cases.
- Correct handling of the API and notifications in external software is the responsibility of that software's provider. MenuRobo is not liable for errors or delays in external software.
8. Email and reservations
- The business may set up its own email server (SMTP); in that case the business is responsible for the accuracy of the server details and the content of the emails sent.
- Reservations reach the business after the guest verifies their email; accepting or rejecting a reservation and holding a table belong to the business.
9. Prohibited use
- Using the Platform to publish unlawful or misleading content or content that infringes the rights of others.
- Attempting to bypass security, access other accounts or overload the system with automated tools.
- Placing fake orders or ordering without being at the business; attempting to bypass location verification or a device block.
- Copying, reverse engineering or reselling the Platform.
In case of a breach, your account may be suspended with prior notice or, in urgent cases, immediately.
10. Service availability
We take reasonable care to keep the Platform running without interruption. We are not liable for indirect damages caused by interruptions due to maintenance, updates or reasons beyond our control (internet infrastructure, provider outages, POS device or external software outages, force majeure). The Platform requires an internet connection.
11. Intellectual property
The Platform's software, design, API and the MenuRobo brand belong to MenuRobo. Menu content, logos and images entered by the business belong to the business; we use them only to provide the service.
12. Limitation of liability
MenuRobo's total liability under these terms is limited to the plan fees paid for the relevant account in the 12 months before the event causing the damage. Loss of profit and indirect damages are excluded. This limitation does not apply in cases of intent or gross negligence.
13. Closing your account
You can close your account at any time. When an account is closed, your API keys stop working and your data is deleted or anonymised in line with the retention periods in the Privacy Policy. We recommend downloading any reports you need before closing.
14. Changes
These terms may be updated when necessary. Significant changes are announced in the panel before they take effect. Continuing to use the Platform after a change means you accept the updated terms.
15. Governing law
These terms are governed by the laws of the Republic of Türkiye. The courts and enforcement offices at the location of MenuRobo's headquarters have jurisdiction over disputes.
